Every client in one list, with their briefs, quotes, contracts and projects hanging off their name.

How to create a client

A client is the starting point for everything else: briefs, quotes, contracts and projects all attach to one. Add them as soon as an enquiry lands, even before you know much about the job.

  1. Open Project Tools → Clients from the sidebar.

  2. Click New Client, top right.

  3. Type the client's name. This is the only required field.

  4. Add their email and phone if you have them: the email is where their brief, quote and contract links go.

  5. Add their company, and a note on what they're after, so you remember the enquiry when you come back to it.

  6. Click Create client. They appear in the list, and you can open them to add a project, a brief or a quote.

Tip: You can also create a client from inside a new quote or brief, so you never have to leave what you're doing.

How to open a client and read their page

A client's page is the whole relationship on one screen: their contact details, every project you've run for them, and a journey of what happened when. It's where you start a project, a brief or a quote for them.

  1. Open Project Tools → Clients from the sidebar.

  2. Click a client's name in the list to open their page.

  3. Read the top block: their name, then email, phone and company on one line, then the note you saved with them.

  4. Use the tabs to switch between Projects, Briefs and Quotes. The number in brackets is how many of each they have.

  5. On the Projects tab, click any project card to open that project and work on it.

  6. Scroll to Journey at the bottom for a dated history of everything that's happened with this client.

Tip: A red dot on a row or a project card means the client has sent you something you haven't read yet — a completed brief, round feedback, or a comment on a live review.

How to edit a client's details

Names change, people move on and email addresses get retyped. Edit the client and the change follows through to their projects that haven't gone live yet, so briefs and quotes go to the right address.

  1. Open the client from Project Tools → Clients.

  2. Click ••• at the top right of their page.

  3. Choose Edit details. The header turns into a form.

  4. Change the name, email, phone, company or notes. Leaving the email blank clears it.

  5. Click Save. Click Cancel instead if you change your mind, and nothing is kept.

Tip: A new name or email is copied onto their projects that are still leads, briefed, quoted or at contract stage, plus any lost ones. Projects already live or finished keep the details they shipped with.

How to add a project to a client

A project is one piece of work for a client — a rebrand, a website, a campaign. Briefs, quotes, contracts and review rounds all live inside a project, so a client needs at least one before you can send them anything.

  1. Open the client and stay on the Projects tab.

  2. Click New project.

  3. Type a project name, for example "Brand refresh and website".

  4. Click Create project. You land straight on the new project's page.

  5. The project starts as a Lead. Sending a brief, a quote or a contract moves it along the pipeline from there.

Tip: One client can run several projects at once. Give each one a name you'd recognise in a list a year from now.

How to filter the client list by stage

The Filter picker above the list narrows it to one pipeline stage, so you can see just your new leads, or just the work that's live.

  1. Open Project Tools → Clients.

  2. Click the Filter picker above the list.

  3. Pick a stage: Lead, Brief sent, Quoted, Contract sent, Live, Complete, Archived or Lost.

  4. The list now shows only clients with at least one project at that stage.

  5. Pick All to go back to the full list.

Tip: All hides clients whose every project was lost — look under Lost to find them again. A client with projects at several stages shows up under each one.

How to read a client's journey

The Journey at the bottom of a client's page merges every one of their projects into a single dated history, newest first. It's the quickest way to answer "where did we get to with them?"

  1. Open the client and stay on the Projects tab.

  2. Scroll past the project cards to Journey.

  3. Read down the list: the client being added, each project starting as a lead, briefs sent and completed, quotes sent and accepted, contracts signed, rounds locked and signed off.

  4. When a client has more than one project, each entry is prefixed with the project name so you can tell them apart.

  5. Check the date on the right of each entry to see how long a step has been sitting.

How to delete a client

Deleting a client removes them and all of their projects for good. Use it for duplicates and test entries — if a job simply didn't happen, mark the project Lost instead so the history survives.

  1. Open the client you want to remove.

  2. Click ••• at the top right.

  3. Choose Delete client.

  4. Read the confirmation: it names the client and counts the projects that go with them.

  5. Click Delete client to confirm, or Cancel to back out. You land back on the Clients list.

Tip: Their projects go too, along with services, review rounds and files. Briefs and quotes are kept, just unlinked — you'll still find them under Briefs and Quotes. None of it can be undone.
